Generate the Schedule with AI
Once you’ve uploaded all the schedule data, whether manually or automatically, and configured the blocks and preferences for all courses, groups, teachers, and classrooms, you can generate the schedule using AI.
To do this, simply access the configured schedule and select the Auto Schedule option on the left side of the screen.
Review all pending notifications, and when everything is ready, click the Schedule button to automatically generate the schedule. You can read this tutorial to fully understand each of the data analysis notifications.
We recommend generating the schedule without pending notifications to ensure that its execution will be flawless and error-free. If the schedule is generated with notifications, it’s likely that the process will contain some errors, which will later be displayed in the notifications panel.
Important: If you’ve already generated a schedule and decide to generate it again, the previous one will be overwritten. If you want to save the previous schedule, you can duplicate it or download a copy to your computer.
Edit the Schedule
Once the schedule is generated, you can go to the Schedule Editor section to view it and make any changes.
At this point, you can filter from the top of the screen which schedule you want to see (a group's schedule, a teacher's schedule, or a classroom schedule).
Once you apply the filter, the schedule generated by the program will be displayed.
You can make modifications by dragging the sessions to the desired time and day. You can also edit a course through the Lesson Settings option (in the right sidebar). For example, if you want to change the room, teacher, or group. The changes you make in this section will be consolidated in Schedule Data.
To manage pending notifications, you can go to the Schedule Warnings section. If there is any problem with the schedule, it will appear in the corresponding warning category, and you will be able to isolate and review the error. Check this tutorial to learn how to manage each type of notification.
Export the Schedule
Once the schedule is finalized and validated, you have several export options.
To export the schedule, go to the generator's main screen, in the Schedules section, and select the three dots that appear on the right side of the schedule you want to export.
Once you select the Export option, you will see different available export formats.
Export in RoyalSchedule Format (Schedule Backup)
This format allows you to save a backup of the entire schedule on your computer. This backup can be easily uploaded when needed using the Upload Data option. This option does not export the schedule data but creates a backup copy of the entire schedule file in a format that is only compatible with our schedule generator.
This option is recommended if you want to have a backup copy of the entire schedule on your computer.
Export in Excel Format (Schedule Data)
This option allows you to download the template with all the schedule data (groups, teachers, classrooms, courses...). This file will not show any schedule-related data (start time and day of each lesson or class), it’s simply a backup of all the schedule data that could be used to generate another schedule based on this data.
This option is recommended if you want to download the schedule data in template format to use for creating another schedule (for example, downloading the data for the 23/24 academic year and using it to create the 24/25 schedule, adding and modifying as necessary).
Export in Additio Format
This option allows you to download the details of each lesson/class in the schedule. This file is used by users working with the Additio platform to automatically upload all the schedule information into our platform.
If you don’t use Additio’s academic management, you can also use this export to upload the data to another platform or environment.
The file will contain details of each class, including the course name, day, start time, assigned teacher(s), assigned room(s), and group.
This option is recommended for having all the schedule data for each course/lesson in a file with an Excel table format.

Review, Share, and Print the Schedule
Examine the Schedule (for Administrators)
By clicking on the Examine Schedule option on the left side of the screen, you can analyze and view the schedule. Select and filter in the top bar the information you want to display.
You can filter by weeks and days and view the schedule for all or some groups, teachers, and rooms.
This option is ideal for the person responsible for scheduling to see the full distribution of all teachers and groups by day of the week.
It is also very useful to see the gaps in teacher and room availability at each hour of the day.
Share the Schedule with a Public Link
This option allows you to generate a public link (URL) to share the schedule with anyone (students, teachers, families...).
To enable this option, the schedule must have the Public field marked as active (in red). Once activated, the schedule link will be visible. When set to inactive (gray), the schedule link will be disabled.
Once activated, go to the schedule's three dots and select the Show option.
Once you select this option, you will see the interactive schedule in the online version.
You can share the URL with anyone you want to view the schedule. You will be able to filter by weeks, groups, teachers, and rooms to see the different schedules.
Clicking on a session will show all the details: class name, day, date, month, teacher, group, and room.
Print and Generate the Schedule in PDF
If you want to print and generate the schedule in PDF format, from the same Show option (described in the previous section), you can select the printer icon.
Once inside the option, you can individually or multiply select the schedules you want to print for groups, teachers, and rooms.
Once selected, they will be previewed on the right side of the screen.
You will be able to customize some options, such as color use, text adjustment, print date, prohibited hours, dates, time frame, and the QR link.
Once you’ve completed the configuration, you can click the Print button to generate the PDF (with one or multiple schedules) and print them.
