Mass Creation of Class Groups and Schedules Through the Schedule Generator

Additio App allows teachers' accounts to generate class groups and schedules massively using the schedules created with the schedule generator.

Use the file with links to create the schedule (recommended)

This option is the fastest and most recommended for mass creation of class groups and schedules using the file generated through the Additio App's schedule generator.

Step 1: Export the template for schedules from Additio Centers

The first step before generating the schedules with the Additio App's schedule generator is to go to our administration panel (Additio Centers) in the section Settings > Import > Import center data from file (in the side menu).

Once here, select Exports > Export for timetable generator.

When the file is ready, you will receive a notification, and you can download the template to fill in all the necessary data to create the schedule.

Step 2: Complete the template with the necessary data to create the schedules

Once you have the downloaded template, you can open it with any spreadsheet editor (Excel, Open Office, Google Sheets...).

In the template, the base groups (and their unique ID in Additio’s system) and all teachers (with their unique ID, which is their email) will already be automatically filled in. You will just need to add the rest of the data (rooms, courses...).

Step 3: Upload the template with the data to the schedule generator

Once the template is finished, upload the data to the schedule generator.

You can now create the schedules, and once they are created, move to the next step. For schedule creation, you can consult this tutorial.

Step 4: Export the schedules from the generator and mass-create the class groups and schedules in teachers’ accounts

Once the schedule is finalized, you need to export the file with all the information through the Export option (in the three dots at the end of the schedule).

Then, select the Additio format.

Once you have the file, return to Additio Centers to complete the mass creation process. Go to the section Settings > Import > School data import, and select the option Import schedules and create teacher groups.

Proceed to the next step by clicking Next. Upload the file you downloaded from the schedule generator, which contains all the schedule information.

Finally, verify that all the information is correct and add the start and end dates of the academic year. Once the information is verified, click Import, and all the class groups and schedules will automatically be created in teachers' accounts.

The process may take a few minutes, and once completed, you will see this notice.

It is mandatory that all course data is complete in the schedule generator when exporting. The system will not allow the mass creation if some courses are missing information (e.g., missing assigned room or subject name).

If this happens, a notice will appear showing which courses lack complete information, and the groups will not be created. You will need to complete this information in the generator, download the file again, and re-run the process.

Manually add links to the created schedule

This option is only recommended for schools that have started creating schedules in the schedule generator without using the export described in the previous section.

In this case, to carry out mass creation, it is necessary to manually link the base groups and teachers from the academic management (Additio Centers) to the schedule generator.

To start this mass creation process, you need to have the base groups and teachers created in Additio Centers.

Step 1: Export the template for schedules from Additio Centers

The first step is to obtain the unique IDs of the groups and teachers in Additio Centers. To do this, go to the section Settings > Import > School data import (in the side menu).

Once here, select Exports > Export for schedule generator.

When the file is ready, you will receive a notification, and you can download the template to fill in all the necessary data to create the schedule.

Step 2: Link the unique IDs of base groups and teachers to the schedule generator

To manage external IDs in the schedule generator, go to your profile settings (top-right icon) and enable the option Show foreign ID.

Once this option is enabled, you can go to Schedule Data and link each group to its unique ID (a code of numbers and letters) and each teacher to their unique ID (email).

If you don't see the EXTERNAL ID field by default, you can enable it in the EDIT COLUMNS option.

You will find the information on external group and teacher IDs in the file downloaded in Step 1, in the Groups and Teachers tabs.

Step 3: Export the schedules from the generator and mass-create the class groups and schedules in teachers’ accounts

With the links made, you can now export the file with all the information through the Export option (in the three dots at the end of the schedule).

The external ID links can be made BEFORE or AFTER generating the schedule. In no case is it necessary to regenerate the schedule.

Then, select the Additio format.

Once you have the file, return to Additio Centers to complete the mass creation process. Go to the section Settings > Import > Import centre data from file, and select the option Import schedules and create teacher groups.

 

Proceed to the next step by clicking Next. Upload the file you downloaded from the schedule generator, which contains all the schedule information.
