All students in a school have assessments every few years, usually at the end of a term and finally a final assessment. These assessments would be the grades of each period, e.g. first term, second term, etc.
With the assessment periods functionality, schools are provided with the necessary tools to create their assessment periods, assessable for each student. In addition, this allows schools to have a place to see the marks for each period for all the students in their base groups, in order to make assessment sessions.
All this information is entered in the student's academic record, keeping a record of the students' evaluations.
Thanks to the assessment periods created in Additio App, you can indicate which marks are collected in the centre for each period, you can open and close assessment periods, you can manage which subjects are included, and you can obtain an assessment sheet to manage and visualise the marks of the assessment periods.
1. Activation of roles in assessment periods
All management and configuration of assessment periods is done from Centers. Only users with enabled permissions can create and edit assessment periods. To grant permissions to create and edit evaluation periods, go to Configuration > Role management > 3 points of the role > Edit role. There you can select or deselect the editing of evaluation periods.
- Editing the evaluation periods of the base group: allows the user to create and edit evaluation periods of the base group that are not yet closed.
- Editing assessments in closed base group assessment periods: allows the user to edit assessments in assessment periods that are already closed.
2. Configuration of academic years and educational stages
In order to be able to create and work with assessment periods, it is necessary to have the academic years and the educational stages of the base groups properly configured.
- The academic years allow you to configure the years in the school.This will help in future updates to manage the transition of base groups and students between academic years.
- The educational stages allow you to relate base groups to different educational stages and courses.
Once configured, we can now create and configure assessment periods!
3.How to set up evaluation periods
Evaluation periods are created under Settings > Maintenance > Assessment periods.
To create a new evaluation period, click on the ‘+’ at the bottom right. A window for configuring the new evaluation period will appear.
You will have to indicate
- Name of the assessment period (for example, 1st term ESO).
- Educational stage (to be chosen from the drop-down menu)
- Type of evaluation
- Informative: it does not have an official nature, as is usually the case with continuous assessments in the first and second trimester.
- Ordinary (official): has an official character and can be used in official documentation, for example.
- Extraordinary (official).
- Period evaluations: we can define the types of marks we will use to create the template for the evaluation period.
4. How to assign assessment periods to base groups
The assessment periods can be assigned to the base groups in 2 ways:
- From the list of assessment periods (in the Configuration): by clicking on the 3 dots of each assessment period, you can assign it to different base groups. This is used to make a mass assignment to the base groups.
- From the base groups: enter a base group > 3 points > Evaluations > Evaluation periods.
By clicking on the +, a window will appear where you can choose the evaluation period.
5. Evaluation of the evaluation period
Once the evaluation periods have been assigned to the base groups, they appear in a pending status. The 3 possible statuses of an evaluation period are as follows:
- Pending: it has not yet been opened and therefore no marks can be awarded.
- Open: marks can be awarded.
- Closed: edits can no longer be made, only those users who have permission to do so.
Within each assessment period that we have chosen for the base group, we can now configure the subjects that will form part of the assessment sheet for this assessment period, where the +’ symbol is.
In this window we can configure
- Opening and closing date of the assessment periods: they will open automatically on this date.
- Date of the evaluation meeting.
- Name of the subjects and linkage with class groups (in case they are linked). If they are not linked, marks can still be entered, but without linking them from the teacher's gradebook).
Once configured, the evaluation sheet will appear according to the template we have created.
As long as it is in pending status, it will not be possible to enter or edit marks. To do this, we will have to wait for the evaluation period to open, or open it manually at the top right.
When we open the evaluation period, the system asks if we want to send a notice to the teachers so that they can enter their marks.
Teachers who receive a notification can enter their marks in the side menu on the left > Centre evaluation periods.
Once the marks have been entered, the assessment sheet will be filled in.
This can be exported to Excel if desired, in the 3 points > Export Excel.
6. Opening and closing evaluation periods
The evaluation periods can be opened either by setting an opening date when configuring them, or by using the drop-down menu at the top right.
During the time they are open, teachers will be able to enter marks and edit them from their accounts.
The grading period closes from the drop-down. Once closed, only those users who have permission to do so will be able to edit grades.
When the assessment periods are closed, the information is transferred to the student's transcript. It will look as follows:
