Communication as administrator

From the admin panel, the school is able to send messages to all the base groups; in the same way, the school can send invites so that both students and parents join Edvoice, see the sent messages history in a group and inactivate Edvoice in a particular group.

In order to do it, the admins have to access the Admin panel, access the Base groups tab and click on the group of their choice.

NOTE: You can learn more about how to create base groups here.


You first need to enable Edvoice before being able to send messages. Those schools or users that have not purchased Edvoice will not be able to activate it.

In order to activate Edvoice in a particular group, you first have to select a base group where you wish to activate it. When you see the list of students in the base group, you will need to click on the 3 vertical dots in the right top corner, choose "Communications > Configurate communications" where you can activate it by choosing with who would you like to activate the communications: students, families or both of them. 


If you want to stop using Edvoice, you must first select a group and click on the 3 vertical dots, choose "Communications > Configurate communications", where you will find the inactivate option.  

This option allows you to inactivate this Edvoice group. By clicking on this option, you will no longer be able to send any more messages, and this group will disappear from parents’ and students’ Edvoice app, along with all the message history.

You can activate the group again anytime by clicking on with who you would like to activate the communication: students, families or both of them. Once it is activated, the previously sent messages will appear again and communication with the recipients will be restored.

Send access codes: 
With this option you can send all the activating codes for both students and their parents.
You can do it in different ways: individually or collectively. In order to do it collectively, you can:
  1. Click on the Generate invites option on the top part of the codes. With this option a PDF document will be created with a page for each student. In each page you can find the codes for the students and their parents to know the steps to activate their accounts and join the group.
  2. Click on the Send to all by email option, which appears at the end of the students’ list, so that all of them receive the email with their codes.

In order to do it individually, you have to click on the 3 vertical dots on the right side of the student’s enabling code. This option allows you to:

  • Send code to student by email
  • Send code to family by email
  • Send code to student and family by email

Sending message to Edvoice and viewing historial

Send message:

You can send several kinds of messages to all students and/or family in a base group:

  • Text messages
  • Pictures
  • Docs
  • Calendar events

In order to send a message, open "Base Groups" press the 3 dots in the right top corner and the ‘Send message’ option will be under the ‘Edvoice’ menu. 

Once the message modal window pops up, choose the group and then press the selector that reads ‘Students and families’ to choose the recipient of the message: the students, the parents or both of them.

Then select the appropriate tab depending on the kind of message you wish to send.

  • Text: Insert a title (optional) and write the message you want them to receive.
  • Docs: Select one or several docs that you would like to send and choose whether to add a title and a message.
  • Picture: Select one or several pictures that you would like to send and choose whether to add a title and a message.
  • Calendar: Select the date and the time of the event you want to send. Confirmation of attendance will be requested by default, but you can untick the box in case it is not required. You can also edit the title and write an optional message.

By pressing ‘Send’, the recipients will receive the message on their phones provided that they have installed the Edvoice app and have joined the group through the activation codes.

Please note that the messages sent using this option will be general to the group, i.e. to all students, family or all students and family.

Once the messages have been sent, you will receive a delivery confirmation or an alert notification in the event that some students or parents have not yet activated Edvoice on their phones.

NOTE: Individual messages to a student and/or their parents can also be sent by pressing the icon

Viewing history

If you wish to see all sent messages, select  "Base Groups", choose your group and press the 3 dots in the right top corner and under it in the ‘Communications’ menu, which will then display the ‘Message history’ option.

With this option you can see all messages that have been sent from the admin panel to the base group you selected.

You will see both the message, the time and the date it was sent, so you can keep track of all the messages sent to the group.

As for those messages that are Image type, in their message history you will also be able to see the files that have been sent.

In the event of calendar events where confirmation was requested, a button will be displayed to show the answers that the users provided, i.e. whether they accepted the invitation or not.

Teachers of a base group

If you select "Base Groups" and you choose your group after that you can reach "Teachers of the group" option by clicking on the 3 dots go to "Teachers", where you can choose which teachers can participate in the group. Teachers of the group will be able to communicate with the students and families who are linked to the base group and vice versa.

To configure it, you only have to access the base group, click on "Teachers" and select "Teachers of the group" option.

Once you press the option, it will appear a window with all the teachers in the center and by clicking on the teachers you can unlink them from the base group in order to leave only the correct ones. The teachers who are "Teachers of the base group" will be those who can communicate with the students and families, those who are in "Other teachers" will be the ones who cannot communicate with the students and families.

Who can start chats?

You can decide who can start chats. Depending on the school and it’s decision, it’s better that families or students can start a chat with the teacher or that only the teacher can start a chat with them, you can configure this from the Configurator of the centre platform:

Press the option “Who can start chats?” and select the option you want.
