How to activate and generate Edvoice codes from Additio

From Additio, all those teachers will an Edvoice license will be able to send messages from all their groups, send invitations so that students and families can join Edvoice and also deactivate Edvoice for a given group. 

You only have to access your Additio account > Evaluation and groups and access the group you want to activate Edvoice to.

NOTE: Teachers can login in Edvoice with Additio user and password or with social login if they login with a Google, Microsoft or Apple acount.

Activate and Deactivate groups

To activate Edvoice, first you need to select the group you want to activate Edvoice to. Once you're in the group, click on the 3 vertical dots > Edvoice > Set communications. 

NOTE: Edvoice activation and deactivation can only be established from Additio web version. 

When you select either Students, Families or Students and families you activate group notifications through Edvoice. 

When you select Inactive, you deactivate this group from Edvoice. Consequently, you can no longer send any more messages and the group will disappear from Edvoice for students and families, also the message history. 

You can activate the group again anytime, you only have to click on Students, Families or Students and Families as previously mentioned. Then, messages previously sent will be displayed and communication will be reestablished with recipients. 

Send Edvoice activation codes

If the group is linked to a base group, Edvoice activation codes will be the same students and families have in the base group.

However, if the group is not linked to a base group, you will need to activate Edvoice codes and share them with students and/or families.

You can send the activation codes to students and families with option View codes.

You can share activation codes either individually or collectively. You can send the codes to the whole group with these options:

  1. Click on Generate invites at the top of the codes. With this option a PDF file will be generated with a page for each student with the corresponding codes and instructions to sign in and join the group.
  2. Click on Send codes by email and everyone will get an email with the corresponding code. 

You can send the codes individually by clicking on the 3 vertical dots next to the code related to each student. With this option you can:

  • Send the code to the student by email
  • Send the code to the families by email
  • Send the code to students and families by email

NOTE: From Additio app you only have options Send message and Send grades available. 

Send messages, rubrics and grades to Edvoice and Message history option

You can send messages, grades and notifications from Additio either individually or collectively. 

Group message

The process to send a group message is: 

Click on the 3 vertical dots > Edvoice > Send message.

Once the Send message window opens you need to decide who will be the recipient, to select your option click on the recipient next to the name of the group and choose among Students, Families or Students and families.

Then, write the subject of the message (optional) and write the message you want them to receive. 

When you press Send, the recipients of the message will receive it in their mobile devices if they've already installed Edvoice and joined the group with the corresponding activation codes. 

Individual message

This is the process to send an individual message to a student or to the family:

Right click on the student and click on Send message. A new window will open to send a message to the student, family or both of them. To select the proper recipient click on the recipient next to the name of the group and choose among Students, Families or Students and families.

It is main to write a message and a title (optional), then press Send. 

Another option to send an individual message is opening the student file > Actions > Send message.

Press Send and the recipients will receive the message in their mobile devices if they've already installed Edvoice and joined the group with the corresponding activation codes. 

Once the messages are sent, a message will pop up to confirm they have been successfully sent. Also, contrary, an alert message will appear if some students or families haven't activated Edvoice in their mobile devices yet. 

Send rubrics

This is the process to send rubrics to the whole group: 

Right click on the column with the assessed rubric you want to send and select option Send rubric. In this moment, a new window will emerge to send the message with the rubric to students, families or students and families. To select the proper recipient click on the recipient next to the name of the group and choose among Students, Families or Students and families. You can also modify the message if you need it. 

You can also send any comment attached.

You can send a rubric to an individual student right clicking on the cell where the rubric is assessed and then press Send rubric. 

Send self-assessment or co-assessment

You can send rubrics to the families in order to assess the student or to students to assess themselves or their classmates. 

For self-assessment, you have to create a self-assessment column (right click on the + button to add a new column) and select Edvoice option so that the rubric can be sent. 

For co-assessment, you have to create a co-assessment column (right click on the + button to add a new column), as previously seen you also select Edvoice option, but the option will be displayed at the top left hand side. 

Send grades

As you can send messages you can also send grades to the whole group or individually to the student or the family. 

These are the steps you must take to send the grades to the whole group: 

Right click on the column with the grades you want to send and select Send mark. A new window will open where you must choose the recipient of the message, this is, Students, Families or Students and families. To select the proper recipient click on the recipient next to the name of the group and choose among Students, Families or Students and families. You can also modify the message if you need it. 

There's a message that is displayed by default next to the grade of the student that will students and families will see when they receive the message with the corresponding grades. You can also edit this message. 

These are the steps you must take to send the grades individually: 

Right click on the cell with the grades you want to send and select Send mark. A new window will open where you must choose the recipient of the message, this is, Students, Families or Students and families. To select the proper recipient click on the recipient next to the name of the group and choose among Students, Families or Students and families. You can also modify the message if you need it. 

NOTE: Grades will be sent to the message history of the related family or student (Story). The rest of the group won't be able to see these grades under any circumstance. 

Message history

You can see all the messages sent from a group on 3 vertical dots > Edvoice > Message history. 

You can see all the messages sent from the group, but also the specific time and date the message was sent. 

If the messages sent are contain resources attached (files, images, links...) you can see the sent files too. 

In case these are event messages where confirmation was requested, a button will be displayed in order to check if students or families accepted or not to attend the event. 

NOTE: Message history option is only available on the website. 

Send attendance and grades notifications through Edvoice

Attendance and grades notifications will be sent automatically to families and students through Edvoice app in their mobile devices. 

Send attendance notifications

You need to go to the 3 vertical dots > Edvoice > Attendance notifications to set the notifications that students and families will receive.

When you select this option a new window will open where you'll be required to choose the recipient of these notifications and the attendance types of evaluation you'll notify.

These settings will be saved so each time you track attendance if you assign one of these selected types of evaluation, a notification will be automatically sent to those you chose to notify to (students and/or families). 

You can also send attendance notifications from Apps in mobile devices. 

NOTE: Notifications are not sent immediately but in a process executed every 10 minutes. 

NOTE: Notifications settings will be performed from the web version. 

Send notifications from the Apps

For Additio app version, you won't need to set notifications again as it is only required to set them from the web version. 

As these apps can work offline, if some modifications on attendance or grades are done, those will be sent manually through a button displayed next to the tab title. This button will only be visible in groups with active Edvoice and with the notifications previously set on the website. 

If notifications are not sent manually, these will be sent when Synchronization takes place in the mobile device.

 

Send grades notifications from Additio 

Grades notifications can be automatically sent to students and families in Edvoice. 

Grades will be notified as notifications if they're in tabs with quick columns, quick columns are usually used to assess daily tasks such as homework or behavior.

If you want to set the notifications of grades that students and families will receive, you'll have to create or edit a tab with quick columns and click on Set up in Schedule notifications to Edvoice option. 

The Set up button will be deactivated if no column has been added to the current tab. 

When you click on Set up a new window will open where you need to choose the recipient of the notifications. 

You can deactivate Enable notifications option anytime and notifications won't be sent. 

You can also sent the grades notifications automatically from the Apps in mobile devices. 

NOTE: Notifications are not sent immediately but in a process executed every 10 minutes.
