Configuration of the school and users
From the generic list of all timetables, on the left side we have 2 options to edit school and user data.
- Users: In this section, users can be managed by the school. Currently there are 2 roles defined:
- Scheduler: User who has permission to manage timetables.
- Administrator: User who has permission to manage users and school data, as well as manage timetables.
When accessing the Users section, the following user data is displayed: email, role, school/organisation, creation date and editing and configuration actions for each user.
To create a new user, it is as simple as clicking on the button at the top right ‘+ Create user’.
In each user, if we click on the editing pencil, we will be able to edit their role (if we have the administrator role). In the configuration wheel, we will see what their role is and information about their login activity.
Finally, if we want to delete a user, we only have to click on the bin icon.
- School: If we have an administrator role, in this section we will be able to view and edit the school data, including the school name and logo.
Both the name and the logo that we put in this section are the ones that will appear on the timetable printout, if we want the name and logo to appear.
Schedule Setup
To configure the general schedule, you need to click the "Edit" button at the bottom of the schedule you want to set up.
Once inside, click the "Schedule Settings" option located at the bottom of the left sidebar.
Next, you'll need to fill in the basic fields that appear in the "Default Values" tab.
You will need to set the start and end of the day (when activities start at the center and when they end, whether they are classes or meetings).
You will also need to set the breaks between sessions to 0 (fields between lessons, for groups, teachers, and rooms).
Next, it will be time to configure the periods and blocks, which can be found in the top bar.
Creating Periods
This option allows you to configure different date ranges, which can later be applied to different courses.
This option is used when a course does not last the entire established schedule (start and end) and is only active for specific weeks (e.g., a trimester, two weeks, week A-B, every two weeks...).
Click the "+" button in the top right corner, create a name for the period, and select the weeks that belong to that period.
By clicking on the three vertical dots, you can make modifications to the created periods.
This option is usually used by vocational training centers or universities.
Creating Blocks
This option allows you to create different structures that will be applied to the schedules of different groups. You can create as many as needed.
For example, if one group has classes every day from 8 AM to 3 PM with 30-minute sessions and a break from 1:30 PM to 2 PM, and another group has classes from 9 AM to 2 PM with 45- or 60-minute sessions and no break, each will need a block that reflects this structure.
This option is commonly used to create different schedule structures based on the educational level (Preschool, Primary, Secondary, High School...), especially if each level follows a different distribution and structure.
If all groups work with the same structure, you only need to create one schedule block for all.
To create a new block, click on the template that appears first; you'll see that you can start from scratch or use a pre-existing template by moving the arrows on the side.
Once you have it, click "Add" to create it.
After it's created, click on it to start designing the structure. Simply drag the lesson periods you want into each day. Once done, by clicking the "X" in the top right corner, you can minimize the block.
The session structure must match the duration of classes for the different courses in the group. For example, if the group has 30-minute classes and the structure only includes 90-minute classes, the program will notify you that this is not possible.
By clicking on the three vertical dots, you can edit, duplicate, or delete the generated block.
Once the blocks are generated, you can go to the schedule data section and assign which block (structure) applies to each group. See here how to create the groups.
