Scheduling and follow up

How do I plan my lessons?

NOTE: Although you can use Scheduling in all our platforms, we strongly recommend to use it in the website version. It is quicker and more efficient than other devices as you can benefit from the advantages of working with a computer.

There are two different ways you can access scheduling:

- From a group: the scheduling of the given group will be displayed.

- From the main menu: where all the groups scheduling will be displayed.

Scheduling offers two different views: per week and per unit. With per week option, you can see class days of the current week and move forwards or backwards to other days. With per unit option, you can see the whole picture of the classes and allows you to create new units to group several sessions.

If you click on the gear icon, at the top right hand side, you can set the scheduling template you want to use in each group. By default, we suggest a template with Objectives, activities, resources and follow but it's important to use a template that suits your needs.

Week view

By default, the days we already set as group schedule can be planned, but you can create new events easily by clicking on the + button on the week view.

Press the + button on the day you want to add a new event to. Write a title, date and hour. If you want the schedule to repeat, click on Never repeat and choose among Every day, Every week, Every 2 weeks or Every month.

In those days where there's no record yet, the sections of the template are displayed by default. Once you write anything in a section or add a new section this information is saved and the template won't be displayed again.

There are two types of sections: scheduling or follow up. You'll identify the follow up section because of the color background. In this case, when you try to import scheduling from another group this won't be possible as this space is considered to note issues related to follow up of this particular class. An example: students behavior, homework, a note about the class in an specific day.

Edit a session

By clicking on the gear icon you can edit sessions as many times as you wish to. This gear button offers several features:

- Copy and paste: you can copy a lesson and paste it in another session. To paste it, right click in the day you want to paste it and the Paste option will appear. You can also paste from the gear button of a new session.

- Edit session: you can quickly modify all the fields of the section you previously introduced.

- Delete: you have two options to delete a session:

  1. Delete the se... and move the future lessons to the previous session: you can delete the lesson of the day and the next sessions will be moved to the previous ones. For example: Monday, May 9 a session on Addition is scheduled and on Thursday, May 12 a session on Subtraction is scheduled. This option deletes Addition lesson and Subtraction lesson will be scheduled for Monday 9.
  2. Delete the lesson... and delete the session: you delete the lesson and the session.

- Move to the right: you have two ways to move the lessons to the next session:

  1. Move all the lessons to the next session... and keep the current session: you can keep the created session but the lessons will move to the next day you have a session.
  2. Move all the lessons to the next session... and delete the current session: the lesson moves to the next session but the current session is deleted.

If you move the mouse pointer on the sections of the session, a new screen is displayed with the following features:

- Add resources (paperclip icon): you can attach resources linked to the app.

- Delete the section

- Copy the section

- Paste the section

Unit view

In the Unit view all the sessions appear one after the other for a long-term scheduling and grouping them by units. When you select one of these sessions, as in the Week view, you can move or modify them.

Unit view does not only offers to display sessions in a list but grouping different sessions by units. To create a new unit you only have to select New unit and choose an starting date for this unit. Automatically, the app groups sessions inside the units according to the starting date and the date of the next unit.

Units can have their own schedules too and sections can be added and modified, as it happens with sessions.

General view

General view feature is similar to the view inside a group. The main difference is that in General view all the sessions of all groups are displayed. The sessions can be displayed either per week or per unit.

Export scheduling:

You can export scheduling either in Excel or PDF.

Copy scheduling from one group to another

If you need to work with the same schedule in more than one group, you can do it now. You just need to access the Scheduling of the group where there's no schedule yet and click on the gear icon > Copy Scheduling.

Once you've selected this option, a new window with open where you'll be required to choose the group where you already have the complete scheduling.

NOTE: It is compulsory that the sessions are created from the schedule in order to copy the scheduling.

Once selected, you can set the sections you want to import, either scheduling, follow up or activities. You'll be required to select the range of time you want to copy or if you want to copy it all.

After, a new window will open to select the date you want the first session of the scheduling to be copied to. A preview on how the sessions will be copied will be available.

Here, you need to select the assessment tab you want the scheduled activities to be pasted to for each of the sessions you're copying.

Then, press Copy and the scheduling, follow up and activities will automatically appear in the sessions of the new class group.

Link scheduling with your assessment

From Scheduling you can link the activities you work with in every session with the assessment in your gradebook. You can do it either from the general scheduling or from the group scheduling, either in the week view or in the unit view.

To add activities linked to an assessment you only have to click on Add activities in the Activities section of the schedule.

You can create different activities in Scheduling, either Assessable or Not assessable. This is a great option to have an overview of the activities to work with in each session.

NOTE: Teachers who already created scheduling in previous versions will be required to add a new section in scheduling by clicking on Add + and add the Activities section. A new blank session will be displayed in the session named Activities. You can also add this section in the template in order to automatically display this section when adding new scheduling.

When you add an activity in this section, you'll be required to establish if the activity is Assessable or Not Assessable.

If the activity is Not assessable, a new text field will open to add the description of the activity. Press Save and the activity will be displayed in your scheduling.

If the activity is Assessable, you'll be required to add a title (the title of the new column to assess the activity) and select the type of assessment you'll use to assess this activity, you'll be required to select the tab where the new column will be displayed too. Press Save and the activity will be displayed in your scheduling and a new column in your gradebook. In this column you can start assessing the activity.

In this column the scheduling icon will be shown to identify it, if you click on it you can view or edit the activity linked to this assessment.

From the scheduling icon you can edit the title of the activities already created anytime by clicking on the activity you need to modify.

When you edit an Assessable activity, you can click on Actions and access the column linked to this activity.

When you add an Assessable activity, you can add skills and evaluation criteria linked to your group too.
